All users will have permission to view the summary windows.

The summary windows display the most recent set of attribute data for an item. This includes data entry forms, geospatial data, associated attachments, and related item records.

Example of a Summary

There are several different ways to access the summary windows:

  • Select the icon on the map so that the blue circle displays on the icon. Once the blue circle is displayed on the icon, double-click the icon on the IMSMA Navigation window’s map pane.
  • Double-click the item record’s row from the IMSMA Navigation window’s items pane.
  • Select the icon on the map or the item record’s row from the items pane and click the InfoPageIcon.png button. From the Identify Selection window, select the item record and click the File:SunglassesIcon.png button.

The attributes displayed in the summary window for each item will vary and are listed in the item-specific sections that follow. Most of the buttons for the summary window are located in the top, right corner of the window. In addition to these buttons, the Done button in the bottom, right corner of the window closes the summary window.

Button Description
FieldReportIcon.png Lists the data entry forms that are related to the item.
PrinterIcon.png Displays a printable view of the item.
ShadesIcon.png Displays the item icon on the map.
YellowManIcon.png Displays the location associated with the item. This button is not available from the Location Summary window.
UAIBtn01.png Allows you to remove the link between two or more items.

Exporting a Data Entry Form

To export a data entry form:

  1. Click the FieldReportIcon.png button.
  2. The Data Entry Forms window lists the data entry forms associated with the item.
  3. Select the row associated with the data entry form that you would like to export.
  4. Click the FieldReportExportIcon.png button.
  5. The Data Entry Form Export window displays.
  6. Enter your name in the Exported by field or leave it blank.
  7. Click the Browse button and navigate to the directory where you would like to save the file.
  8. In the Select window, enter the name of the file in the File Name field.
  9. Click the Select button.
  10. If you want to export the data entry form without its attachments, check the Exclude Data Entry Form Attachment data checkbox.
  11. In the Data Entry Form Export window, click the Export button.
  12. The Export Complete window displays.
  13. Click the OK button.

Adding a Data Entry Form

To add a data entry form:

  1. Click the Add button.
  2. The Data Entry Form Templates window displays. For more information on adding a data entry form, refer to How To Add a Data Entry Form.
  3. Click the row in the Data Entry Form Templates window corresponding to the template that you would like to use.
  4. Click the OK button.
  5. The Data Entry Form Editor window displays the selected template.
  6. Enter the data entry form data. For information on using the Data Entry Form Editor window, refer to Entering Data into IMSMANG.
Represents a tip or note for using IMSMA. Adding a data entry form from within the Location Summary window automatically assigns the location to the data entry form.

Adding a data entry form from within the Land Summary, Activity Summary, Accident Summary, Victim Summary, Education Summary, or QM Summary windows automatically assigns the location of the item to the new data entry form.

After the data entry form is approved, you must close and reopen the summary window for the data entry form count to increase, and for the data entry form to display in the Data Entry Forms window.

Viewing a Data Entry Form

To view data entry forms associated with an item:

  1. Click the FieldReportIcon.png button.
  2. The Data Entry Forms window lists the data entry forms associated with the item.
  3. Select the row associated with the data entry forms that you would like to view.
  4. Click the OpenButton.png button.
  5. The Data Entry Form View window displays a read-only view of the data entry form.

Printing an Item

The PrinterIcon.png button displays a printable view of the item in the Print View window.

Across the top of the Print View window is a toolbar that allows you to perform various functions. Table 19 lists the buttons on this toolbar and their descriptions.

Unapproving a Data Entry Form

If you find that a Data Entry Form was incorrectly reconciled, you can unapprove the Data Entry Form. Unapproving a Data Entry Form removes data contained in the Data Entry Form from the summary.

Represents a tip or note for using IMSMA. If you need to correct data, you should create a new Data Entry Form to update the item.

A few considerations before you attempt to unapprove a Data Entry Form:

  • If you unapprove a Data Entry Form that removes the item record from IMSMA, the warning, “The object displayed in this summary has been deleted from the system, and now represents data no longer in the system.” displays. The icon associated with the item record will no longer display in the IMSMA Navigation window.
  • If the summary of the item record is comprised of multiple Data Entry Forms and one of those Data Entry Forms is unapproved, the message, “The item displayed in this summary has been updated. To see changes, reopen the summary from the main navigation.” displays. The next time that the summary of the item is displayed, data from the unapproved Data Entry Form will not be included.
  • If the Data Entry Form is linked to other item records, the link is removed.
  • If the Data Entry Form you are trying to unapprove removes the item record from IMSMA and is linked to other item records, the links in those item records are also removed.
  • You cannot unapprove a Data Entry Form if unapproving that Data Entry Form would remove the item from IMSMA and there are item records associated with that location. This applies to location Data Entry Forms that have other item Data Entry Forms associated to it, or Education Data Entry Forms that have Education details. If you would like to unapprove the parent item, you will need to first unapprove any child items that it may have associated with it.
  • You cannot unapprove a location Data Entry Form if the remaining Data Entry Forms do not contain required data. For example, you cannot unapprove a location Data Entry Form if the remaining Data Entry Forms for that location do not contain country structure data.
  • It is currently not possible to unapprove a Data Entry Form if that Data Entry Form created multiple items. For example, you cannot unapprove a Data Entry Form that created an accident, victim, and location.

To unapprove a Data Entry Form:

  1. Open the item summary containing the Data Entry Form to unapprove.
  2. Click the Data Entry Form button.
  3. The Data Entry Forms window displays.
  4. Select the Data Entry Form from the list, and then click the Open Selected Report button.
  5. The Data Entry Form Editor window displays.
  6. Click Unapprove.
  7. The Data Entry Form is unapproved and returned to the Workbench. Item data added by that Data Entry Form no longer display in the item summary.

  1. Click the Close button to close the Warning window.
  2. The Information window displays confirming that the Data Entry Form is unapproved and available in the Workbench. Any reconciliation that existed prior to the Data Entry Form being unapproved can be viewed in the Reconciliation tab.

  1. Click the Close button to close the Information window.

Removing a Link Between Items

  1. Open the item summary window of the item to unlink.
  2. Click the Unlink button.
  3. The Unlink window displays.
  4. Select one or more linked items, and then click OK.
  5. The template selection window displays.
  6. Select the same Data Entry Form template used for the item you opened in step 1.
  7. Click OK.
  8. The Data Entry Form Editor displays a new Data Entry Form. The date of report field, the item ID field, and the Reconciliation tab are automatically populated with the unlink information.
  9. Approve, submit, or save the Data Entry Form.
  10. The items are unlinked when the Data Entry Form is approved.
